Yeastar CRM, ERP & WhatsApp Integration Dubai
The Call That Files Its Own Paperwork.

A customer calls. Your salesman answers, promises a callback, hangs up — and logs nothing. Three weeks later the customer hears "our system shows no record of your call," and your CRM insists the account has been quiet since March. The Yeastar P-Series connects to your CRM, your ERP and your WhatsApp Business number so the call logs itself, the caller's record opens before you pick up, and no customer conversation lives only in someone's head. Scoped, connected and supported across the UAE by VDS.

The Problem, Named

Your CRM Says the Account Went Quiet. Your Customer Says They Called Yesterday.

Both are telling the truth. The call happened — your salesman took it on his mobile, promised a quote, and typed nothing. The CRM only knows what your team remembers to tell it, and a salesman between meetings remembers nothing. Multiply that by every call, every rep, every day: follow-ups that never fire, managers forecasting from empty records, and a customer database that drifts further from reality with each ring. In plain words: CRM integration connects your Yeastar P-Series phone system to the software your business already runs on — so the call, the recording, the note and the WhatsApp chat land on the customer's record by themselves, and the caller's name and history open on screen before anyone says hello.

The loss is not abstract. A prospect who has to re-explain their story to a second salesperson hears a company that doesn't talk to itself. An owner who discovers six months of unlogged calls has no pipeline — he has a memory test. This page is the full map: the six CRMs the P-Series speaks natively, the database hook that reaches inside your ERP, WhatsApp moved off personal phones onto the business number, and what each piece honestly costs in plan terms.

Native, Not Middleware

Six CRMs the P-Series Speaks Without a Middleman

No connector subscriptions, no Zapier chains held together with hope. These integrations are built into the PBX itself — you authenticate once, match users to extensions, and the features below start working. Zoho CRM connects on all three P-Series editions (Appliance, Software, Cloud); the rest follow the same pattern.

The Yeastar Salesforce telephony integration puts the account on screen as the phone rings. The Yeastar PBX Zoho integration writes every call onto the lead the moment it ends. Yeastar HubSpot telephony integration hands marketing a complete call history it never had; the Yeastar PBX Bitrix24 integration and the Yeastar Odoo telephony integration do the same inside the all-in-one suites; and the Yeastar Dynamics 365 PBX integration brings the Microsoft estate along. Six names, one built-in capability — authenticated once, and working the same afternoon.

📇
Zoho CRM
Click-to-call from any Zoho record, automatic call popups with the caller's profile, auto-created leads for unknown numbers, and every call journaled against the contact — with recordings playable from inside Zoho. Works on Appliance, Software and Cloud editions alike.
All 3 Editions
🧲
HubSpot
Calls launch from HubSpot via the Linkus Chrome extension; inbound calls pop the contact profile open automatically. Calls — and WhatsApp chats — journal to the CRM contact when they end. Requires firmware 37.23.0.83 or later and the Enterprise plan or above.
Free CRM Included
☁️
Salesforce
Click-to-call, screen-pop on inbound, CDR synchronisation, contact sync to the PBX phonebook, and auto-creation of leads for unknown callers — configured with Salesforce's own OAuth app. We run a separate, deeper Salesforce page for this one.
Enterprise-Grade
🧩
Bitrix24 & Odoo
The two CRMs we see most in Dubai trading and services companies after Zoho. Both native: popup on ring, click-to-call, call journaling, contact synchronisation. If your CRM is one of these, the connection is an afternoon job, not a project.
Afternoon Job
🟦
Microsoft Dynamics 365
Linkus embeds inside the Dynamics 365 interface itself via Microsoft's Channel Integration Framework — your team makes and takes calls without leaving the CRM, with click-to-call, popup, activity logging and recording playback in the call activity. Needs Cloud edition 84.19.0.22+ and a Dynamics 365 Sales subscription.

🎫
Zendesk & Zoho Desk
The helpdesk pair. Inbound calls pop the matching ticket or contact, unknown callers can auto-create tickets, and call journals attach to the right conversation. Support teams stop asking "have you called us before?" — the screen already knows.

Running a local or self-built CRM? Yeastar's CRM Integration Template covers systems outside the native six — and below that sits the open REST API and webhooks for anything genuinely custom. If your software can open a URL or accept an API call, it can talk to this PBX.

WhatsApp, Taken Seriously

Your Customers Are Already on WhatsApp. The Question Is Whose Number They're Talking To.

Right now, somewhere in your company, a client relationship lives on a salesman's personal WhatsApp — his number, his phone, his chat history. When he resigns on a Sunday, that relationship resigns with him. The P-Series omnichannel inbox moves WhatsApp onto the business number and into Linkus: messages arrive next to calls and SMS in one screen, route to a queue of agents by availability, transfer between colleagues with full history, and elevate to a voice call in one click when typing stops working. Personal numbers never appear.

Two 2025 additions turned this from an inbox into a channel. The August 2025 update (Software 83.20.0.21) added message campaigns — bulk WhatsApp sends using Meta-approved templates, with Do-Not-Call lists and attempt controls built in, so outbound messaging stays inside consent rules instead of gambling with your number's reputation. And the CRM journal now swallows chats whole: when a WhatsApp session with a known CRM contact closes, the entire chat history files itself onto that contact's record. The conversation your customer had on WhatsApp and the call they made last week sit in the same place at last.

The honest requirements: a WhatsApp Business Platform account on your business number (we set it up with you), the Enterprise plan or higher, and message templates for anything sent outside the 24-hour reply window — Meta's rules, not ours. Works on all three P-Series editions.

The ERP Hook

Quoted to You Plainly: the PBX Can Read Your ERP's Database Directly

ERP vendors quote integration as a project with a comma in it. The P-Series quietly ships three mechanisms that cover most of what a Dubai trading or services company actually needs — without middleware. This is the section your ERP vendor would rather you not price against their quote.

And here is the engineering underneath, stated plainly because it changes what is possible: the P-Series carries a real-time event system. Your ERP or custom application subscribes once — over WebSocket for a live connection, or a simple Webhook URL — and the PBX pushes events to it the moment they happen, including a call-end detail event that delivers the full record of every finished call. In practice: the handset goes down, and one second later the call is in the job file, on the ticket, against the customer account — pushed by the phone system itself, not fished out by a script at midnight. That is the difference between a report you run and a system that keeps itself current.

🗄️
Caller Lookup from Your Own Database
Database Contacts Sync connects the PBX straight to Microsoft SQL or LDAP — your ERP's customer table, your accounting system's client list. Inbound number matches, caller's name displays on the phone and in Linkus, contacts sync into the PBX, and calls can auto-route based on phonebook matches. No connector. Your database stays yours.
MS SQL · LDAP · Native
🖥️
Screen-Pop Straight Into the ERP
The Call Popup accepts a custom URL with variables — caller number, DID number, DID name, call start time (expanded in the November 2025 release). The PBX opens your ERP's own customer-search page with the caller's number already in the query. Any web-based ERP that can search by URL — and most can — pops the right card as the phone rings.
Any Web ERP · Nov 2025 Variables
🪝
Webhooks & REST API for the Rest
Real-time event push — inbound call ringing, call answered, call ended, call record, even satisfaction-survey results — posted to your system the moment each happens. The October 2025 release added webhook management APIs and a connectivity test. The full REST API covers call control, CDR pull with DID filters, contacts and more, for the workflows that need two-way control.
Real-Time · Oct 2025 API Additions

What this looks like in practice: a Jebel Ali trading company runs its ERP on SQL Server. We point the PBX's Database Contacts Sync at the customer table, set the popup URL to the ERP's search page, and from that day every inbound call arrives with a name, and one click opens the account — credit terms, last invoice, outstanding balance — before the second ring. The ERP vendor's integration module never gets purchased. Scope yours on WhatsApp; if your database can answer a query, we can likely do the same.

The Microsoft Shop

If Your Company Runs on Microsoft, the PBX Already Speaks It

Most Dubai offices we walk into live inside Microsoft 365. The P-Series meets them there — identity, email, Teams and CRM each connect natively, and none of it requires a Teams Phone licence or a Microsoft Calling Plan.

🪪
Entra ID — Users Sync Themselves
Users and groups sync one-way from Microsoft Entra ID, extensions auto-create for synced users, and sign-in becomes SSO with the Microsoft account they already have. The payoff for owners: disable the account of someone who leaves, and their phone extension, app access and client-facing identity die with it — same minute, no ticket to us.
📨
Outlook — Calls from the Inbox
Click-to-call from the contact list, the mailbox or the calendar. Inbound calls pop the caller's profile; call details save against the contact; unknown callers can auto-create contacts. Outlook contacts — including shared-mailbox contacts — sync one-way into the PBX and every Linkus app.
👥
Teams — Calling Without the Licence
The Yeastar Linkus app embeds inside Microsoft Teams: dial pad, PBX contacts, call logs, voicemails and recordings, all from the Teams interface — with Teams presence and extension presence syncing in either direction. Your PBX trunks and call costs stay yours; no per-user Teams Phone licence enters the building.
🔐
Google & Red Hat Too
Google Workspace gets the same treatment — user sync, auto extension creation, SSO login. Red Hat SSO joined the list in November 2025. If your directory lives somewhere else, LDAP covers it. One identity, one switch-off, no orphan extensions.
The Money Paragraph, Up Front

What Integration Actually Costs — the Version Without the Asterisk

Yeastar charges no per-integration fee. Not for the six CRMs, not for the helpdesks, not for WhatsApp, not for the API. What gates these features is the P-Series plan: CRM, helpdesk and omnichannel messaging integrations open from the Enterprise plan upward; video conferencing and a handful of platform features sit on Ultimate. If you already run a P-Series on Enterprise or Ultimate, everything on this page is included in what you have — the cost of connecting it is our configuration time, quoted once, before work starts.

Two third-party costs stay visible because they are yours, not ours: WhatsApp conversation charges are billed by Meta per conversation category, and your CRM's own subscription stays with your CRM vendor. Where a feature needs specific firmware (HubSpot needs 37.23.0.83+, Dynamics 365 embedding needs Cloud 84.19.0.22+), we check and schedule the upgrade as part of the job. Send your CRM's name and user count on WhatsApp — the answer comes back as a plan name and a one-line scope, same working day.

How It Gets Built

From "Does This Connect?" to Live in Four Steps

1. Name your stack. One WhatsApp message: your CRM or ERP's name, your user count, and whether you're already on a Yeastar P-Series. You get a same-day answer — native, template, database hook or API — and what it rides on.

2. We scope on a call. Which records should pop, what journals where, who sees recordings, which WhatsApp number. Thirty minutes, documented, so the result is what you approved — not what someone assumed.

3. We build and test with live calls. Connection, user mapping, popup rules, journal flow — then real calls in and out until the record lands where it should. Firmware upgrades scheduled around your hours, not ours.

4. Handover with the map in writing. What connects to what, which plan it rides, what's included and what isn't — in the document, so the decision you made is the system you got. Then the same support desk that built it keeps it: remote help the same hour, engineers across all seven emirates.

Not on a P-Series yet? The integrations on this page are Yeastar P-Series features. If another PBX is on your wall today, the honest sentence is: your CRM won't connect to it the way this page describes — and the migration path is shorter than the workaround. Our Yeastar P-Series page covers the system itself; the S-Series migration page covers moving off older Yeastar hardware.

Straight Answers

CRM, ERP & WhatsApp Integration — the Questions Dubai Buyers Actually Ask

What is CRM integration with a phone system, in plain words?
It means your phone system and your CRM stop being strangers. When a customer calls, their CRM record opens on screen before you answer (call popup); when the call ends, it logs itself against their contact with the recording attached (call journal); when an unknown number calls, a lead can create itself. Outbound, you click a number in the CRM and the call dials through your office line — your business caller ID, your recording, your record. On the Yeastar P-Series this is built in, not bolted on: six CRMs connect natively, and the rest connect through a template, a database hook, or the open API.
Which CRMs connect natively to the Yeastar P-Series?
Six, as of August 2026: Zoho CRM, Salesforce, HubSpot, Bitrix24, Odoo and Microsoft Dynamics 365 — plus Zendesk and Zoho Desk on the helpdesk side. Native means the integration ships inside the PBX: you authenticate, match CRM users to extensions, and click-to-call, call popup, call journaling, contact sync and automatic contact creation start working. Zoho CRM connects on all three P-Series editions (Appliance, Software and Cloud). CRMs outside the list connect via Yeastar's CRM Integration Template or the REST API — send us your CRM's name on WhatsApp and you get a same-day answer on which route applies. And whichever way you name it in a meeting — a Yeastar Zoho telephony integration, a Yeastar PBX Salesforce integration — it is the same built-in capability, configured per platform by VDS in Dubai.
We built our own ERP, or use a niche local CRM. Can it still connect?
Usually yes, through one of three doors. Door one: the CRM Integration Template, Yeastar's own mechanism for connecting non-listed CRMs. Door two: Database Contacts Sync — the PBX reads your Microsoft SQL or LDAP database directly, matches the inbound number to a customer, shows the name, and can route the call based on the match. Door three: the custom Call Popup URL — the PBX opens your system's search page with the caller's number, DID and start time already inserted as variables. Below all three sits a full REST API and real-time webhooks. If your system can answer a query or open a URL, we can almost always connect it — the scope call tells you which door and what it costs. Two routes, honestly ranked. The fast one needs no coding at all: the P-Series call popup can open a custom URL with the caller's details dropped in as variables — so if your system has a web page per customer, screen-pop works on day one by URL template. The deep one rides the open API: your application subscribes over WebSocket or Webhook and receives events in real time — including full call-end details — so calls log themselves into your own database. We scope which route fits in the first conversation, and there is also a documented custom-helpdesk integration pattern for ticket systems.
Can my team answer business WhatsApp messages without using personal numbers?
Yes — that is exactly what the P-Series omnichannel inbox does. Your WhatsApp Business Platform account connects to the PBX, and customer WhatsApp messages arrive inside the same Linkus apps your team already uses for calls, alongside SMS and team chat. Messages route to a queue of agents by availability, transfer between colleagues with full chat history attached, and elevate to a voice call in one click. The customer only ever sees your business number; your staff's personal numbers stay out of the relationship entirely — which also means the conversation survives a resignation.
Does WhatsApp chat history actually go into the CRM?
Yes, and it is the least-known feature on this page. When your team chats with a customer on WhatsApp through the PBX and the recipient's number matches a CRM contact, the entire chat history synchronises automatically onto that contact's record when the session closes — whether the agent or the system closes it. Combined with the automatic call journal, the customer's record finally shows the whole relationship: calls, recordings and WhatsApp conversations in one timeline, without anyone copying anything.
Can we send bulk WhatsApp campaigns from the phone system?
Yes, since the August 2025 release (P-Series Software 83.20.0.21): message campaigns send WhatsApp or SMS messages to recipient lists using Meta-approved templates — the PBX syncs your approved templates from your WhatsApp Business account automatically. Two compliance guards ship with it: Do-Not-Call lists that scrub your dial and message lists, and attempt controls that cap how often a contact can be approached. That maps directly onto the UAE's consent expectations under PDPL and Meta's own 24-hour-window rules — outbound stays professional instead of risking your number's quality rating.
What does CRM integration cost?
From Yeastar's side: no per-integration fee — not for the CRMs, the helpdesks, WhatsApp, or the API. What gates the features is your P-Series plan: CRM, helpdesk and omnichannel messaging integrations open from the Enterprise plan upward. Already on Enterprise or Ultimate? Then everything described here is included in what you own, and our charge is one scoped configuration job, quoted before work starts. Costs that stay external and visible: your CRM vendor's own subscription, and Meta's per-conversation WhatsApp charges, which Meta bills. Message us your CRM name and user count — you get the plan answer and a one-line scope the same working day. Our integration setup and annual support runs AED 1,500–5,000 per year depending on system size. Prices are indicative only — contact our sales for actual market prices.
Does this work with Microsoft Teams, Outlook and Entra ID?
All three, natively. Entra ID syncs users and groups into the PBX, auto-creates extensions, and gives SSO login — disable a leaver's account and their extension access ends with it. Outlook adds click-to-call from contacts, mail and calendar, call popups, journaling and one-way contact sync into every Linkus app. Teams embeds the Linkus app inside the Teams interface — dial pad, contacts, logs, voicemail and recordings — with two-way presence sync and no Teams Phone licence or Calling Plan required. Dynamics 365 goes further: Linkus embeds inside the CRM itself via Microsoft's Channel Integration Framework (Cloud edition, firmware 84.19.0.22 or later).
Which UAE areas do you cover?
All seven emirates with our own team. In Dubai: Business Bay, DIFC, Jumeirah Lake Towers and DMCC, Dubai Internet City, Dubai Media City, Dubai Silicon Oasis, Jebel Ali Free Zone, Dubai World Trade Centre, Dubai Airport Free Zone, Dubai South, Dubai Investment Park, Dubai Outsource City, Dubai Production City, Dubai Science Park, Dubai Healthcare City, Dubai Knowledge Park, Dubai Design District, Barsha Heights, Al Quoz, Deira and Bur Dubai. Abu Dhabi: Musaffah, ICAD, KIZAD, Khalifa Port, ADGM, Al Maryah Island, Masdar City, Abu Dhabi Airport Free Zone, Al Ain and the Al Ain Industrial Area. Sharjah: SAIF Zone, Hamriyah Free Zone, Sharjah Industrial Area, Al Saja'a, SRTIP, Sharjah Media City and Khor Fakkan. Ras Al Khaimah: RAKEZ, RAK Industrial Area and Al Marjan Island. Fujairah: Fujairah Free Zone and Fujairah Industrial Area. Ajman: Ajman Free Zone and Ajman Industrial Area. Umm Al Quwain: UAQ Free Trade Zone.
My sales team lives in Zoho (or Salesforce, or HubSpot). What exactly will they see change?
Four things, from day one. One: click any number in the CRM and the call dials on your office line — no retyping. Two: when a customer calls in, their record pops open as the phone rings — you greet them by name with their history on screen. Three: when the call ends, the journal entry writes itself onto the contact, with the recording playable from inside the CRM. Four: an unknown caller can become a new lead automatically instead of a number on a forgotten sticky note. Contacts also sync into the PBX, so the name shows on desk phones and mobiles too. The change your manager notices: call reports finally match reality, because the logging stopped depending on memory.
Can the PBX look up callers directly in our ERP database?
Yes — through Database Contacts Sync, the P-Series connects directly to Microsoft SQL or LDAP and queries your own tables. An inbound number matches a customer row, the caller's name displays on the desk phone and in Linkus, the matched contacts synchronise into the PBX phonebook, and inbound calls can auto-route based on phonebook matches — VIP customers to their account manager, for example. Your data stays in your database; the PBX reads it, nothing is exported to a third-party connector. Pair it with the custom popup URL and the ERP's customer card opens on screen as the phone rings. This is the integration most ERP vendors charge a project for; on the P-Series it is a configuration.
We don't have a Yeastar P-Series. Can we still get any of this?
Not on your current box — everything on this page is a Yeastar P-Series capability, and no configuration of ours can make an unrelated PBX speak to your CRM this way. The honest paths are two. If you run an older Yeastar S-Series, the migration page covers the move across — your numbers, your call flow, your handsets where possible. If you run another brand entirely, we quote the P-Series against what you have and tell you plainly when the integration gain justifies the change — and when it doesn't yet. Either way the first step is the same: tell us your current system and your CRM on WhatsApp, and you get a straight answer.
How long does an integration take to set up?
A native CRM connection is measured in days, not months: scope call, authenticate, map users to extensions, set popup and journal rules, test with live calls, hand over the written map. WhatsApp Business Platform onboarding adds Meta's own verification timeline, which neither we nor anyone can compress — we start it early and run the PBX-side work in parallel. Custom database and API work is scoped per job, but the Jebel Ali pattern — SQL lookup plus popup URL — is typically a week from scope to live. What we won't do is promise a date before the scope call; the same-day WhatsApp answer includes a realistic one.
Where does our call and chat data live, and who can see it?
On your PBX — an appliance in your office, a server you host, or your cloud instance, depending on the edition you run. Call recordings, chat logs and journals store PBX-side with per-phonebook and per-feature permission control, so a salesman sees his contacts and a manager sees the team's; chat logs support search, download and automated backup rules. Access to the apps themselves can be SSO-only against your Microsoft, Google or Red Hat directory, so a disabled account loses everything at once. CRM-side, what syncs is what the integration journals — calls, chats and contacts you chose to connect.
What do you need from us to quote this?
Three answers in one WhatsApp message: the name of your CRM or ERP (or "self-built, on SQL"), roughly how many users make and take calls, and whether a Yeastar P-Series is already running — if yes, which edition and plan if you know it. What you get back the same working day: which connection route applies (native, template, database hook or API), which plan it rides, whether a firmware upgrade is needed, and a scoped price for the configuration work. If the honest answer is that your setup doesn't justify the spend yet, that is the answer you'll get.
CRM, ERP & WhatsApp Integration Dubai — Key Facts
VDS (Vector Dubai, vdsae.com) is a Yeastar distributor and stockist in Dubai — CRM, ERP and WhatsApp integration is configured on the P-Series IP PABX systems we supply, install and support. VDS (Vector Dubai, vdsae.com) is a Yeastar distributor in Dubai, operating since 2010, connecting Yeastar P-Series phone systems to the software Dubai businesses already run. The P-Series carries six native CRM integrations — Zoho CRM, Salesforce, HubSpot, Bitrix24, Odoo and Microsoft Dynamics 365 — plus Zendesk and Zoho Desk helpdesk integrations, a CRM Integration Template for unlisted systems, and Database Contacts Sync that reads Microsoft SQL or LDAP databases directly for caller-name lookup and phonebook-based routing. Native CRM features include click-to-call, automatic call popup, call journaling with recording playback inside the CRM, contact synchronisation and automatic contact or ticket creation.
WhatsApp Business Platform integrates as an omnichannel channel: messages arrive in Linkus UC Clients alongside calls and SMS, route to agent queues, transfer with full history, and elevate to voice calls in one click; chat sessions with CRM-matched contacts sync their full history to the CRM record on session close. The August 2025 release (P-Series Software 83.20.0.21) added bulk WhatsApp and SMS message campaigns with approved-template sync, Do-Not-Call lists and attempt controls. October 2025 (Cloud 84.20.0.128) added webhook management APIs with connectivity testing; November 2025 (Software 83.21.0.16) expanded the custom Call Popup URL with DID-number, DID-name and call-start-time variables. A full REST API and real-time webhook event push cover custom integration work.
CRM, helpdesk and omnichannel messaging integrations require the P-Series Enterprise plan or higher; Yeastar charges no per-integration fee, while WhatsApp conversation charges are billed by Meta and CRM subscriptions remain with their vendors. Microsoft ecosystem integration covers Entra ID user/group synchronisation with automatic extension creation and SSO, Outlook contacts and click-to-call, Microsoft Teams embedded calling without a Teams Phone licence, and Dynamics 365 with Linkus embedded via Channel Integration Framework (Cloud edition, firmware 84.19.0.22 or later). VDS scopes, configures and supports these integrations across Dubai, Abu Dhabi, Sharjah, Ajman, Ras Al Khaimah, Fujairah and Umm Al Quwain. Contact: +971 4 450 4145, WhatsApp, Mon–Sat 8AM–6PM. The P-Series open API provides real-time event subscription via WebSocket or Webhook — including call-end CDR detail events — and the call-popup feature supports custom URLs with variables, enabling screen-pop and automatic call logging for custom-built ERPs and niche platforms without native connectors. Yeastar PBX CRM integration and Yeastar telephony integration are configured natively for Zoho CRM, Salesforce, HubSpot, Bitrix24, Odoo and Microsoft Dynamics 365, with other platforms connected through the P-Series open API. Etisalat and du connectivity operates under TDRA (formerly TRA) regulation; VDS annual maintenance runs AED 1,500–5,000 per year. Facts current as of August 2026.
